Document Archiving: The Essential Supplies for Efficient Organisation

Whether you work in an administrative office, on a production line or in a logistics centre, physical documents are part of your daily routine. And since volumes can vary significantly from month to month, you need an archiving system that is easy to adapt – but also stable enough to work without constant intervention.

In reality, efficient archiving is not just about space, but also about how you organise your office supplies, how consistently you label documents and which materials you use to protect and preserve them in good condition over the long term.

1. Archive boxes: safe long-term storage

Whether you work with contracts, technical data sheets or delivery notes, documents often need to be kept for between 3 and 10 years, depending on the industry’s specific legal requirements. Standard cardboard boxes for archiving are a simple and efficient solution for organising them by year, month or document type.

What to look for:

  • thick, durable cardboard (for heavy loads);

  • A4 or A5 size, depending on the document format;

  • removable lid and openings for easy handling;

  • side labelling space (for quick identification on shelves).

In industrial spaces or warehouses, archive containers can be stacked and labelled using codes; in offices, they can be integrated into cabinets or placed on metal shelving for easy access.

2. Lever arch files: clear organisation for active documents

A well-structured file reduces search time. Especially in industries with internal document flows – orders, inspection sheets and control forms – lever arch files are indispensable. They can be used individually or inserted into ring binders.

Useful when:

  • documents need to be signed in several stages;

  • temporary classification is needed before final archiving;

  • documents circulate between several offices or teams.

And if you work in a field where tables or perforated documents are used, a version with coloured dividers and protective sleeves becomes particularly useful.

3. Ring binders: quick access, clear structure and stability on the shelf

Ring binders are probably the most versatile archiving products – you can use them both for current documents and for medium-term archiving. They provide quick access, make it easy to reorder documents and offer enough space for large groups of records.

Recommendations for companies:

  • 5 or 8 cm spine, depending on the volume;

  • metal fastening mechanism for durability;

  • customisable spine labels;

  • laminated, easy-to-clean material (ideal for production areas).

In e-commerce companies, where hundreds of invoices, reports and delivery notes are processed each month, ring binders become the central hub of the operational archive.

4. Labels, codes and visual systems: easy identification without wasted time

In an environment where every minute counts, time wasted searching for a wrongly archived document becomes a real problem. Correct labelling saves time and reduces operational stress.

What works:

  • durable adhesive labels (for ring binders, boxes and files);

  • colour codes (e.g. red for finance, blue for HR and green for logistics);

  • label templates (including printable versions);

  • code reference tables (useful in large archives with multiple users).

This system can also be easily replicated across different locations belonging to the same company – particularly useful for businesses with multiple sites.

5. Envelopes, folders and sleeves: physical protection during transport and archiving

Using sleeves, folders and envelopes is not a luxury; it is a practical way to keep documents in good condition when they are transported, sent between departments or stored in an archive for longer periods.

What you can include:

  • button folders (for transporting forms or sensitive documents);

  • punched pockets (for documents that need to be inserted into ring binders);

  • kraft or gusseted envelopes (for archiving bulky documents).

In industries such as pharmaceuticals, electronics and automotive, where document reliability is linked to product traceability, physical protection becomes part of the quality process.

A few useful archiving rules, regardless of the industry:

  • group documents according to their purpose: accounting; production; human resources; logistics;

  • label everything that is not obvious at first glance;

  • schedule an annual or six-monthly archive review;

  • use the same codes, colours and sizes to maintain visual consistency;

  • avoid overloading shelves – allowing air to circulate helps preserve paper and prevents deterioration.

In companies that are growing or diversifying, archiving tends to become chaotic if it is not structured from the start. But with the right supplies, a minimum of consistency and a little planning, it can become one of the most efficient administrative functions.
